Scope of services

Four phases. Concept to completion.

Here is what Project CM does in each phase. Every scope is tailored, so use this as a guide. Tap any service to see what it covers.

01

Phase 01 · Project construction planning

Plan the work before the work.

Every successful project starts with a clear plan, an honest budget and a team that agrees on the goals.

Project CM meets with you and your consultants, gathers everything already known from earlier planning and due diligence, and turns it into a plan you can manage the whole project against.

  1. Meet with you, your consultants and engineers to fine-tune the plan and agree on how to move forward.

  2. Earlier planning and due diligence pulled into one plan that breaks the job into attainable goals, covering scope, standards, design criteria, cost and schedule.

  3. A big-picture timeline of every task from start to occupancy, with responsibilities and deadlines from the architect, engineers, contractor and FF&E team. It works alongside the contractor's detailed schedule.

  4. Cost targets built from your input, the contractor, the design team and independent estimates, so the budget is tested early.

  5. Consultants and designers kept on track with the preconstruction schedule and budget, with regular design reviews against your goals.

  6. Reviews across disciplines that look for better sequencing, maintainability, accessibility and lifecycle value, with value-engineering options to bring the budget in line.

  7. Utility conflicts, phasing, procurement, permitting and schedule risks flagged early, with practical alternatives and their trade-offs laid out plainly.

  8. Meetings with city officials and the building department, with your involvement in critical agency submittals organized.

  9. Project CM chairs project coordination meetings so decisions are made and the work keeps moving.

Phase 02 · Project implementation

Build the right team.

With the plan agreed, Project CM helps you choose the consultants, contractors and vendors, and gets the documents ready to price and permit.

You make every selection and sign every contract directly. We do the legwork behind those decisions: criteria, outreach, side-by-side comparisons and a clear recommendation.

  1. Evaluation materials and recommendations for consultants, contractors and vendors, so only qualified teams are invited to bid.

  2. Selection criteria, requests for proposal, interviews and help finalizing contracts with each prime team member.

  3. Bid documents coordinated with the design team, the bidders conference attended, and questions and addenda handled.

  4. Every bid checked for completeness, compared side by side and against your budget, with a clear recommendation for award.

  5. Support negotiating with contractors and preparing consultant, contractor and vendor agreements.

  6. The final program of requirements and design-phase deliverables reviewed with the architect for scope, budget and schedule.

  7. Telecom, security, furniture, audio-visual and equipment requirements coordinated with the interior design.

  8. Construction documents reviewed and approved by you before they are issued for pricing and permit.

Phase 03 · Construction

Eyes on site. No surprises.

Once the site opens, Project CM is your focal point for design and construction, keeping cost, schedule and quality where they should be.

Regular meetings, site walks and straight answers. Every change and every pay request is reviewed before it reaches your desk, and you always know where the job stands.

  1. Regular meetings with the contractor and consultants to resolve technical and schedule issues, with minutes sent promptly to everyone.

  2. Periodic site walks to check progress and conformance with the contract documents, and to flag anything that needs your attention or the designer’s.

  3. You stay informed by email, phone or in person, as often as you need.

  4. Every contractor, owner, design and building department change reviewed for its effect on cost, schedule and quality, with a recommendation before you approve.

  5. Unforeseen conditions, utility conflicts and sequencing problems worked through with clear options and their trade-offs.

  6. Contractor and consultant pay requests reviewed, with monthly cost control summaries and payment recommendations.

  7. The construction schedule reviewed regularly, with actions recommended to hold it, and your decisions lined up so the team never waits.

  8. Budget, schedule, procurement and coordination risks tracked, and change order requests and claims evaluated with a recommendation.

  9. Owner-hired vendors and contractors coordinated with the general contractor for an orderly installation.

  10. Municipal approvals, final agency sign-off and the Certificate of Occupancy pursued with the contractor.

Phase 04 · Post construction & close-out

Finish strong.

The last few percent of a project decide how you live with the building. Project CM makes sure nothing is left open.

Punch lists closed, payments settled, liens released and every document in your hands, so your facilities team starts with a complete record.

  1. Punch lists prepared with you, the architect and the contractor at the right stages, with every item tracked to completion.

  2. A recommendation when the work is ready for close-out, and certificates of substantial completion coordinated.

  3. Final pay applications reviewed with a recommendation, preliminary lien notices monitored and lien releases collected.

  4. Every consultant and construction contract closed out properly.

  5. As-built drawings, operating manuals and warranties collected from the contractor, designers and vendors.

  6. A final analysis of project expenditures, measured against the budget you started with.
